Job Description

OVERVIEW

  • Greets visitors, handles and routes incoming calls, performs general administrative duties.
  • Assist administrative staff with word processing, data entry and filing.
  • Arrange for courier services upon request.

DUTIES AND RESPONSIBILITIES

  • Answers all incoming calls and handle callers inquiries on the general line
  • Makes phone call if necessary
  • Greets, assists and directs visitors visiting the office
  • Receive, direct and relay telephone message and fax messages
  • Handle incoming and outgoing faxes, mails and documents
  • Open and date stamp all general correspondence
  • Sample arrangement for customer
  • Make preparations for the meetings
  • Provides word processing and secretarial support to the administrative staff
  • Provides administrative services such as data entry and filling
  • Conduct checking on monthly basis to all the safety measure and emergency devices
  • Any other task that may be assigned by the superior

DAILY TASKS:

WEEKLY TASKS:

  • Monitoring the office amenities for weekly replenishment.

MONTHLY TASKS:

  • Processing PR for monthly purchase
  • Compiling the attendance records
  • Updating utilities expenses of this office into record
  • Updating courier charges of this office into record
  • Conduct checking on monthly basis to all the safety measure and emergency devices
  • Monitoring the glove stock in the storage area.

REQUIREMENTS

Education:

  • Minimum SPM or equivalent.

Work Experience:

  • 1-2 years relevant working experience.

Technical and Professional Knowledge:

  • Computer literate
  • Good human relation skills
  • Able to think logically
  • Able to speak & write in English and Bahasa Malaysia
