Job Description
Job Purpose
Provides clerical and administrative support by assisting executives and the Manager with daily operations, including organizing documents, coordinating sample submissions, and supporting general department workflows. Ensures records are accurately maintained, filed, and readily accessible to support smooth operational efficiency.
Responsibilities
1. Perform document control tasks â filing, labelling, photocopying, and safeguarding records in line with established procedures and 5S standards.
2. Manage archival of obsolete documents â ensuring timely transfer to designated folders and maintaining traceability.
3. Prepare and issue Certificates of Analysis (COFA) and product test reports to support compliance needs.
4. Liaise with chemical suppliers and laboratories on regulatory updates (RoHS, REACH, SVHC, Prop 65) and testing progress, ensuring all responses and reports are properly documented.
5. Handle SIRIM-related submissions and approvals, ensuring timely upload and accessibility in the system.
6. Coordinate sample submissions (local and overseas), ensuring complete records and proper documentation.
7. Maintain regulatory and compliance files â ensuring accuracy, organization, and readiness for internal or external audits.
8. Manage departmental training administration â updating training records, OJT matrix, and ensuring compliance with training documentation requirements.
9. Process administrative requests such as issuing ePRs, monitoring payments, and handling clerical support for HR/stationery needs.
10. Provide guidance to new staff on clerical and administrative procedures, supporting knowledge transfer within the department.
Qualification and Experience
1. Minimum SPM (Diploma /Sijil in Business Administration, Office Management , Accounting will be advantage) or relevant.
2. Minimum 2 years of experience in clerical, administrative, or document control functions.
3. Experience in administrative, accounting, or regulatory support roles will be an added advantage.
