Job Description

Job Purpose

Execute shipping documentation, coordinate outbound shipments, and perform administrative tasks to ensure accurate records, timely shipment processing, and compliance with operational and shipping requirements.

Responsibilities

1. Maintain Sales Order data accuracy in D365 to ensure correct shipment processing.

2. Coordinate container delivery arrangements with haulage companies to meet scheduled shipment timelines.

3. Verify shipment release status to confirm readiness for outbound delivery.

4. Prepare and review shipping documents, including invoices, packing lists, and shipping instructions, for completeness.

5. Reconfirm e-PR and invoice details from agents for accurate submission to Manager approval.

6. Monitor third-party and supporting shipment documents to ensure timely availability for shipment execution.

7. Verify payment status prior to shipment to prevent delays.

8. Coordinate container loading and forwarding arrangements with warehouse and forwarding parties in line with shipment plans.

9. Check and verify Marine Insurance Certificates (CIF) and insurance debit notes for compliance.

10. Perform ad-hoc shipment-related administrative tasks to support daily shipping operations.

Qualification and Experience

1. Minimum Certificate or Diploma in Shipping, Logistics, Supply Chain, or related fields; SPM with relevant experience may also be considered.

2. At least 2 years of experience in shipping, logistics, or administrative operations.

3. Proficient in Microsoft Office for data entry, document preparation, and record management.

4. Knowledge of shipping documentation and processes, including invoices, packing lists, shipment release, and delivery coordination.

5. Ability to prioritise tasks, track documents, follow up activities, and monitor work accuracy according to SOPs.

6. Basic understanding of documentation control and compliance requirements in shipping and logistics.
