Job Description

OVERVIEW

  • Overseeing the overall hostels management

DUTIES AND RESPONSIBILITIES

Hostel Management

  • Ensuring end-to-end facility management tasks are being administered efficiently
  • Overseeing management of worker complaints on living conditions and hostel facilities as well as coordinating repair works and resolving them expediently
  • Ensuring patrol is performed and routine checks is conducted to ensure worker harmony, hygiene, and workers’ welfare
  • Sourcing and overseeing service provider performance
  • Overseeing management and coordination of safety, security, and cleanliness, of worker hostels; conducting regular maintenance checks, working with Health, Safety & Environment (HSE) to conduct fire drill in onsite hostel
  • Reviewing process flow and SOPs for process improvement
  • Ensuring relevant management reports i.e., inventory checklists for all facilities are prepared and updated in a timely manner
  • Ensuring hostel occupancy and monitored and optimization of hostel utilization up to 90% per unit
  • Ensuring that hostel occupant’s records and information are maintained and up-to-date
  • Overseeing the development and implementation of hostel activities and program (e.g. entertainment, sports, and trip) to continuously foster community harmony and sense of belonging

Other Local Admin Task

  • Ensuring effective management of all service provider management matters for hostel and other local administrative services
  • Managing employee queries in relation to hostel and other local administrative services
  • Ensuring compliance with industry and internal policies and best practice
  • Attending to audit requests by providing records and documentation to auditors
  • Preparing and monitoring department budget

 

REQUIREMENTS

Education:

  • Bachelor Degree in Human Resource, Communications, Public Relations, or Psychology, or degree in any other fields deemed applicable

Work Experience:

  • Minimum 7 years’ of relevant experience including 5 years' in HR preferably in manufacturing industry

Technical and Professional Knowledge:

  • HR procedures and policies
  • Industry trends, best practices and labor legislation and principles e.g., NDA, Code of Conduct, ILO, 5S
  • Compliance auditing approaches, and evaluation methods
  • Processes and procedures related to customer audits
  • Advanced Excel
